What does Quotestack do?
Quotestack helps Air Conditioning engineers generate accurate, professional quotes faster by guiding customers through a structured quote request, auto-sizing requirements, selecting equipment from your uploaded catalogues, and producing a branded quote output.
Is Quotestack an operational tool (job management, etc)?
No. Quotestack is a quoting tool. Engineers still run jobs through their own operational systems. Quotestack does not handle job operations or take payments.
Who is Quotestack for?
It’s designed for Air Conditioning businesses doing residential and light commercial work and wanting to speed up quoting while keeping control of pricing and margins.
Does Quotestack work for large commercial projects?
It’s not intended as a full commercial-scale system. For larger quoting (e.g. 10+ rooms), Quotestack can still help, but you should include clear messaging/disclaimers that accuracy may reduce and the quote is subject to survey.
Can engineers edit quotes?
Yes. Engineers can sanity-check, adjust, and edit quotes as needed, especially after a site survey, so the final outcome remains under engineer control.
What does the customer experience look like?
Customers complete a multi-step form (designed to reduce drop-off), and can return to drafts that auto-save. Once the quote is ready, they receive a branded quote and next-step messaging.
Setup, onboarding, and integrations
How do we get set up?
Setup typically includes onboarding plus configuration of your brands, pricing rules, labour day rates, margins, and uploaded equipment catalogues so quotes reflect your business logic.
What do you need from us during onboarding?
Common onboarding inputs include your equipment price lists/catalogues, equipment specifications, brand preferences, and examples of existing quotes (to match your style and T&Cs approach).
Do you integrate with our website?
Yes. Typically via a widget embedded on your site so quote requests flow into your Quotestack account. This keeps lead capture and quoting consistent and trackable.
Can Quotestack handle multiple brands simultaneously?
Yes. You can configure the brands you use and upload catalogues so the system can select appropriate equipment based on required output and your pricing.
How do site surveys fit into the workflow?
Quotestack supports a “pre-survey quote” approach: the customer receives an estimate, then books a site survey, after which the engineer can revise the quote if needed.
Can we standardise uploads (CSV) and reduce setup friction?
Yes. A standardised CSV process and templates (plus guided upload prompts) can be used to make onboarding faster and repeatable.

What’s the ROI—how does Quotestack pay for itself?

How do we price jobs inside the platform?

Yes. Add-ons can be offered so customers can purchase extra training/support or additional services as needed.
Is Quotestack intended to replace our estimator?
It reduces manual estimating workload by doing the heavy lifting and standardising the process, but, engineers are still expected to sanity-check outputs and adjust where appropriate.
What results should we expect in the first 1–3 months?
A realistic target is improved speed and consistency first. Then, conversion uplift as follow-ups, surveys, and refinement of templates/inputs bed in.
What if our business is still small?
Quotestack is built to reduce complexity and help small teams move quickly, especially where quoting is the bottleneck.

What automation is included?
Automated messaging can support the quote-to-next-step process encouraging survey booking, following up consistently, and keeping leads warm without manual chasing.
Can we turn off automation or customise messages?
Yes. Email sequences should be editable, and engineers should be able to disable automation entirely if they prefer manual follow-up.
Do emails include unsubscribe links for GDPR compliance?
They must. All outbound email communication should include an unsubscribe option to support GDPR compliance.
Can SMS messages show our business name/number?
This depends on SMS provider and sender ID capabilities. It’s something to confirm during setup so SMS appears appropriately branded.
How do we keep quality and accountability (audit trail)?
Activity logs linked to individual users help trace changes that could affect quote accuracy whic is useful for governance and debugging.
How does support work?
A Help Centre / “Academy” with how-to guides, videos, and screen grabs reduces repetitive queries. Support tickets should be reserved primarily for bugs, with common questions answered by directing users to the relevant help page.
