Onboarding Explained
Once you sign up, our onboarding process gets you from “new account” to quote-ready as quickly as possible—so you can start producing accurate quotes, following up automatically, and booking more site surveys with less admin.
The onboarding journey at a glance
Confirm your plan and onboarding slot
Once your subscription is confirmed, we’ll guide you to book an onboarding call at a time that suits you. Our aim is to get you live quickly once we have your setup information.
You send us your setup information
To make the call smooth and productive, we ask for a small set of items in advance—branding, product pricing, and key company details. Ideally, send this at least 3 days before your onboarding call.
We prepare your account before the call
Before we meet, our team uploads your core details and prepares your account so we can spend the onboarding session focused on the workflow and getting you quote-ready (not admin).
Your onboarding & training call (typically ~1 hour)
Your onboarding call is structured, practical, and built around your real business. By the end, you’ll understand how to generate accurate quotes and how the automation and customer journey works.
Website integration setup (optional but recommended)
If you want customers to request quotes directly from your website, we’ll provide the widget embed code and help you (or your web provider) get it installed.
Follow-up training and support
We include 1–3 optional follow-up calls to help you refine your setup once you’ve used Quotestack in the real world.

Account and company setup
We’ll confirm your company information and how you want enquiries and notifications
handled—so leads go to the right people, and the system is aligned with your process.
Product catalogue and pricing logic
We’ll upload your manufacturer/product information to create your quoting catalogue, then set up the variables that drive accurate quotes, such as:
- labour costs
- materials
- contingency
- profit margins / markup rules
- any workflow-specific notifications relevant to your business
Automations and sales messaging
Quotestack includes a default set of automated messages designed to match the customer’s stage in the journey. During onboarding we’ll:
- explain what sends when and why
- confirm which messages suit your business
- customise templates/timing if desired
How to handle real-world survey changes
If a customer submits incomplete info—or you discover something on survey—quotes can be adjusted to match reality. Quotestack is designed for the “estimate → survey → refine” workflow, so you stay in control.
What we need from you (before the call)
To set you up quickly, please provide:
- Your logo (PNG/JPEG/PDF)
- An example invoice/quote layout you currently use (PDF/Word)
- Any Terms & Conditions you’d like referenced (optional)
- Distributor/manufacturer pricing spreadsheets (up to 3 brands is ideal)
- Company contact details (address, phone number(s), key email addresses)
The more complete the info up front, the faster you’ll be producing quote-ready outputs after onboarding.

Account and company setup
By the end of onboarding, you can expect:
- a configured Quotestack account aligned to your business
- products and pricing rules in place to generate accurate quotes
- your messaging and automations understood (and optionally customised)
- clarity on the recommended customer journey: quote → survey booking → refine → win
Ongoing training and support
We include 1–3 optional follow-up calls to help you fine-tune after you’ve used the platform. Additional training is available if you want deeper coaching for your team.
Support is handled through our secure support portal (login required), so your request is tied to your account and we can resolve it faster.

How long does onboarding take?
The main onboarding call is typically around 1 hour, with optional follow-ups if you want them.
When will we be live?
Once we receive your setup information, we aim to schedule onboarding quickly—typically within a few days—so you can start quoting without delay.
Do I need a web developer for website integration?
Not always. If you have a web provider, we can give them the embed code; otherwise, we’ll guide you through the simplest route.
What if our pricing changes later?
No problem—your catalogue, costs, margins, and messaging can be updated as your business evolves.
